1. About this policy
This Privacy Policy explains what personal data Ukraine TravelGuard (“we”, “us”) collects when you visit ukrainetravelguard.com, why we collect it, how long we keep it, and what rights you have over it. It is written to comply with the EU and UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and equivalent privacy laws.
We deliberately collect as little personal data as possible. The site has no logins, no shopping cart, and no advertising trackers — most of it can be used without disclosing anything about yourself.
2. Who is the data controller
The data controller responsible for your personal data on ukrainetravelguard.com is the editorial team of Ukraine TravelGuard. You can reach us at info@ukrainetravelguard.com for any question about this policy or to exercise the rights described in section 8.
3. What information we collect
3.1 Information you provide voluntarily
- Newsletter subscription. When you subscribe to our travel updates we store your email address, the date you subscribed, the language version of the page you subscribed from, and an opaque unsubscribe token.
- Direct correspondence. If you email us we keep the contents of your message and your email address so we can reply and follow up.
3.2 Information collected automatically
- Server access logs. IP address, requested URL, response code, browser user-agent, and timestamp. Logs are retained for up to 30 days for security and abuse prevention and are then deleted.
- Privacy-respecting analytics. Aggregated, non-identifying statistics about page visits, referring pages, country (derived from IP at the country level only — no precise geolocation), and approximate device type. We do not use cross-site tracking, advertising IDs, or browser fingerprinting.
4. Cookies and similar technologies
The site uses a small number of strictly necessary cookies and one anonymous analytics cookie:
- pll_language — remembers the language you selected so you continue browsing in that language. Lifetime: up to one year. Strictly necessary.
- wordpress_test_cookie — set briefly to confirm that your browser accepts cookies. Lifetime: session. Strictly necessary.
- Anonymous analytics cookies — used by our self-hosted analytics platform to deduplicate page-views inside a 24-hour window. No personal data is stored. Lifetime: up to 13 months for the visitor identifier, 30 minutes for the session identifier.
You can block or delete cookies in your browser settings. Blocking the analytics cookie does not affect any feature of the site. Blocking the language cookie means the site will reset to its default language on every visit.
5. Why we process your data — lawful bases
- Operating the website and serving pages — legitimate interest in running the service you requested.
- Newsletter delivery — your consent, given when you submit the subscription form. You can withdraw consent at any time.
- Replying to your emails — legitimate interest in corresponding with people who write to us.
- Server logs and abuse prevention — legitimate interest in protecting the site against attack and misuse.
- Aggregated analytics — legitimate interest in understanding which guides need updating and how readers find them.
6. Who we share data with
We do not sell your data, do not share it with advertising networks, and do not allow third-party trackers on the site. We only disclose personal data to:
- our managed hosting provider, which processes server requests on our behalf under a written data-processing agreement;
- our transactional email provider, used to deliver newsletter messages and unsubscribe confirmations;
- law-enforcement, courts, or regulators — only when we are legally compelled to do so and only the data strictly required by the order.
7. International data transfers
Some of our service providers operate from countries outside the European Economic Area and the United Kingdom. Where personal data is transferred outside those areas the transfer is covered by the European Commission’s Standard Contractual Clauses or an equivalent legally recognised safeguard. You can request a copy of the safeguards we rely on by emailing us.
8. Your rights
If you are in the EU, the UK, California, or another jurisdiction with comparable rights you may at any time:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or out-of-date data;
- ask us to delete your data (“right to be forgotten”);
- ask us to restrict or object to a particular use of your data;
- receive your data in a portable, machine-readable format;
- withdraw any consent you previously gave — this does not affect the lawfulness of processing carried out before the withdrawal;
- lodge a complaint with your national data protection authority.
To exercise any of these rights, email info@ukrainetravelguard.com. We acknowledge requests within five business days and resolve them within 30 days, as required by GDPR. To unsubscribe from the newsletter you can simply use the unsubscribe link in any email — no account or login is required.
9. How long we keep data
- Newsletter email addresses — until you unsubscribe, plus a short suppression list to honour your unsubscribe request.
- Email correspondence — up to 24 months from the last reply, after which messages are archived or deleted.
- Server access logs — 30 days, then permanently deleted.
- Aggregated analytics — kept indefinitely in anonymised, non-identifying form.
10. Security
The site is served exclusively over HTTPS with modern TLS. Newsletter records and submitted message contents are stored on access-controlled servers behind authenticated administrative accounts. We do not store payment details, government identification documents, or any other special-category personal data — please do not send such information to us by email.
11. Children
The site is not directed at children under 16 and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of the page reflects the most recent change. Material changes will be announced on the site for at least 30 days before they take effect.
